ChatGPT for tradies: what it's good for (and what it isn't)
By Harry Pickering ·
Plenty of tradies have had a mate tell them "I use ChatGPT for everything now." Some of that's true, and some of it's a bloke who once got it to write a funny Facebook post. Here's a practical look at where general AI chat tools actually save time in a trade business, and where they'll get you into trouble.
Where ChatGPT genuinely helps
1. Turning rough notes into a tidy quote description
This is the most useful one. Speak or type your notes on site ("replace 3 rotten deck boards, sand and oil, fix loose handrail"), give it your prices, and ask it to write a clear scope of work.
A prompt that works:
I'm a [trade] in [city]. Turn these job notes into a clear quote description for a homeowner.
Notes: [what you saw and what needs doing]
My prices: [line items and amounts]
Include a one-line summary, an itemised scope, what's not included, and how long it will take.
Do not change or add any prices. Friendly, plain Australian English. The important line is "do not change or add any prices."
2. Replying to customers
Tricky messages are where it shines: chasing an overdue invoice, explaining a variation, politely saying no to a job, or replying to a cranky review. Ask for "short, friendly, firm" and edit before you send.
3. Explaining things in plain English
Customers often don't understand why a job costs what it does. AI can help you explain it without jargon: why a hot water unit needs a tempering valve, why a switchboard upgrade is needed, why prep is most of the painting price.
4. Templates you'll reuse
Booking confirmations, "what to expect on the day", aftercare notes, and the photo list you send customers. Write them once and save them.
5. Website and social copy
Service descriptions, FAQ answers and suburb pages. Use it for a first draft, then put your own experience in, because generic copy doesn't win jobs.
Where it goes wrong
It isn't a pricing tool
General chat tools don't know your labour prices, your suppliers, your call-out or your area. Ask "how much to replace a hot water system in Melbourne?" and you'll get a confident number that has nothing to do with your business. Tradies on Reddit who tested AI renovation estimates reported wildly low numbers. Always price from your own rates.
It makes things up
It can state a "standard" or a rule that doesn't exist, or get one wrong. Never rely on it for compliance, licensing or Australian Standards. Check the source yourself.
Privacy
Whatever you type is stored on the provider's servers, and some may be held overseas. Keep customer addresses, phone numbers, bank details and ABNs out of general chat tools. The Australian Cyber Security Centre's guidance for small businesses says the same: set rules for what can be shared, check vendors' data handling, and keep a human checking the output. It doesn't answer your customers
ChatGPT helps you write. It doesn't sit on your website answering the homeowner who's looking at your site at 9pm. That takes a different kind of tool.
ChatGPT vs a quoting tool on your website
| General AI chat (ChatGPT etc.) | AI quote widget on your site | |
|---|---|---|
| Who uses it | You | Your customers |
| Knows your prices | Only what you paste in each time | Set up from your own rates |
| Customer can send photos | No | Usually yes |
| Customer can ask for a time | No | Often, as a request you approve |
| Best for | Writing, replies, templates | Turning website visitors into enquiries you can act on |
They do different jobs, and plenty of businesses use both.
A simple way to start this week
- Save the quote prompt above in your phone's notes.
- Use it on your next three quotes and compare how long they take.
- Write three reply templates for the messages you hate writing.
- Make a rule: no customer personal details in the chat.
FAQ
Is ChatGPT free for tradies? There's a free version that's enough for writing quotes and replies. The paid plans add features, but they aren't essential to start.
Can ChatGPT write my quotes for me? It can write the wording and the scope from your notes. You still set the prices and check every line before it goes out.
Can I use ChatGPT for Australian Standards questions? Treat its answers as a starting point only. Check the actual standard or your regulator, because AI can be confidently wrong.
Is it safe to put customer details into ChatGPT? Avoid it. Keep names, addresses, phone numbers and payment details out of general AI tools.
If you'd rather your website did the quoting, from your own rates, while you're on the tools, have a look at Instaquote. Your next job is already asking. For plumbers, see Instaquote for plumbers.
